Terms and Conditions

Convention Housing Experts LLC (“CHE”) is a privately-owned company that is not affiliated with any event or organization. CHE provides hotel accommodation reservation and booking services for individuals and businesses.


Reservation & Payment Terms

  • A 25% deposit is required after 72 hours from making the reservation to hold the rooms.

  • All payments must be made in U.S. Dollars.

  • Refunds will be processed using the same payment method as the original transaction.

  • Check-in times generally range between 2:00 PM and 4:00 PM.
    Late check-ins may result in cancellation as a no-show unless prior notice is provided.

  • No refunds will be granted for early check-outs.

  • In case of a no-show, the reservation will be automatically canceled, and no refund will be issued.

  • Hotels may require a refundable security deposit at check-in, which is returned upon check-out.

  • Resort fees, if applicable, are not included in quoted rates and must be paid directly at the hotel.


Modification and Cancellation Policy

  • A confirmation including your invoice and itinerary will be sent via email within 72 hours of making the reservation.

  • You are responsible for reviewing the confirmation for accuracy.
    Any errors caused by CHE in transcribing the information provided must be reported within 24 hours of receipt.
    After this period, the information is considered complete and accurate.

  • Modifications or partial cancellations may be requested until 14 days prior to check-in, unless otherwise agreed in writing.

    • All requests must be submitted in writing to Support@chousingexperts.com.

    • CHE will make its best efforts to accommodate requests, but cannot guarantee that changes will be accepted or honored at the original rate.

    • Reservations cannot be modified or reduced to less than 25% of the original contract.

  • If changes are made:

    • More than 14 days before check-in: No modification fees apply.

    • Between 14 and 7 days before check-in: A fee equal to one night’s accommodation may be charged, along with any additional taxes or fees incurred by CHE.

    • Any amendments or cancellations must be requested no later than two weeks prior to check-in. Requests after this deadline are not guaranteed and are subject to the hotel’s and supplier’s policies.
    • Substitutions & Name Changes: Name changes are allowed up to 14 days prior to check-in, subject to availability and supplier approval. Late name changes may not be accepted and could result in cancellation without refund.
  • Cancellations:

    • Canceling the entire reservation after 72 hours from making the reservation results in a penalty equal to 25% of the original contract total, making the initial deposit non-refundable.

    • No cancellations or modifications will be accepted within 7 days of check-in.

    • CHE does not offer credits or refunds for no-shows, late check-ins, or early check-outs.

Refund Policy

  • You are entitled to a 72-hour free cancellation period from the time of booking. After this period, the 25% deposit becomes strictly non-refundable.

  • Refunds will be issued using the same method of payment as the original transaction. We cannot process refunds via alternative payment methods.

  • If you are requesting to cancel your entire reservation, you must provide a valid reason along with any supporting documentation (e.g., travel restrictions, medical emergencies).

    • If no valid documentation is submitted, the request will be disregarded and no refund will be processed.

  • Refund after deadline: Cancellations made after the deadline—Between 14 and 7 days prior to the check-in date—are not guaranteed a refund. While we will do our best to negotiate with our supplier on your behalf, we cannot promise a specific outcome at this stage. The refund, if any, may be partial, full, or not granted at all, depending on the supplier’s policies and decision.
  • Refund Processing Time: If a refund is approved, please allow 7–14 business days for it to be processed. Bank processing times may vary depending on your provider.
  • Non-Refundable Situations Include (but are not limited to):

    • No-shows or late arrivals without prior notification.

    • Early check-outs, regardless of reason.

    • Cancellations made within 7 calendar days of the scheduled check-in date.

    • Declined visa applications, unless proof is submitted at least 14 days before check-in.

    • Failure to submit guest names or required documents before a given deadline.


Additional Terms & Conditions

  • Force Majeure Clause: In the event of force majeure (e.g., natural disasters, government restrictions, acts of war, or pandemics), refund eligibility will be considered on a case-by-case basis and aligned with the policies of the hotel or supplier. CHE does not guarantee full or partial refunds under such circumstances.

  • Administrative Fees: Any approved refund may be subject to an administrative fee of up to 5% of the total transaction, especially in the case of complex group bookings or late-stage cancellations.

  • Security Deposits & Incidentals: Hotels may require a refundable security deposit at check-in. CHE is not responsible for the return of these deposits; this is handled directly between the guest and the hotel.

  • Resort Fees & Additional Charges: Resort fees, parking, and other incidental costs are not included in your prepaid rate and are payable directly to the hotel. These charges are non-refundable once charged.

  • Refunds on Discounted/Promotional Rates: Rooms booked under special rates, promotions, or group discounts may be non-refundable or have stricter cancellation terms. These will be clearly stated at the time of booking.

  • Disputes: In the event of any dispute regarding payment, cancellation, or refund terms, the reservation will be automatically canceled and cannot be reinstated under any circumstances. All associated payments, including deposits, will be considered non-refundable once a dispute is initiated.
